Late Collection Policy

It is the parents’ responsibility to inform Sporting Chance if they will be late collecting their children. If a child is not collected at the end of a session, and the parent or carer has not notified us that they will be delayed, we will implement the following procedures:
• Within 5 minutes after the advertised finish time of the club, the club coach / manager will contact the authorised or responsible adult listed on the register.
• The person will be informed that penalty fees will have to be charged.
• If there is no response, messages will be left requesting that they contact us immediately. The club coach / manager will then try to contact the emergency contacts listed on the child’s registration form.
• While waiting to be collected, the child will be supervised by a member of staff.
When the collecting adults arrive we will do a well-being check in and ask ‘if everything is ok…?’ Assuming they were just running late they will be reminded that they must call to notify us if they are delayed, and that penalty fees will likely be charged. We support this with a rationale for charging to cover staff costs.
Over 30 minutes late
• If colleagues have been unable to contact the authorised or responsible adult after 30 minutes, the manager will contact the local Social Care team for advice.
• The child will remain in the care of the team, until collected by the authorised or responsible adult or until placed in the care of the Social Care team.
If it is not possible for the child to remain at the premises, a message will be left with the all named emergency contacts to advise where the child has been taken (e.g. into the care of a safeguarding agency) and leaving an appropriate contact number and name.
Charging

We do not wish to charge customers extra money in the form of fees but we will have to pass on the costs for retaining our staff beyond their finish time.

A charge of £6 per 10 minutes will be levied for all late collections.
NOTE: Parents and carers will be reminded that if they persistently collect their child late they may lose their place at the Holiday Camp or Club.
